Communicating with you

We may use your contact details to respond to enquiries, provide customer service, and communicate important information about our services.

Where communications are necessary to administer your booking or account, they may be sent without separate marketing consent as permitted by law.

Payments and accounting

We process information relating to transactions for the purposes of:

  • taking and reconciling payments;
  • issuing or maintaining transaction records;
  • preventing and detecting fraud;
  • accounting;
  • financial administration; and
  • complying with legal and tax obligations.

Security and CCTV

CCTV operates at our premises for the purposes of:

  • protecting customers, staff and visitors;
  • preventing and detecting crime;
  • protecting our premises and equipment;
  • investigating incidents; and
  • supporting the safety and security of the premises.

CCTV may record customers, staff and other individuals within areas covered by the cameras.

CCTV footage is normally retained for as long as reasonably necessary for insurance purposes (365 days), after which it is overwritten unless it needs to be retained for a specific reason, such as an ongoing investigation, incident or request from a law enforcement authority.

Where footage needs to be retained beyond the normal period, we will retain it only for as long as reasonably necessary for that specific purpose.

6. Our lawful bases for processing

Depending on the circumstances, we rely on one or more of the following lawful bases under the UK GDPR:

Contract: where processing is necessary to provide a service or fulfil a booking or other agreement with you.

Legal obligation: where we need to process information to comply with a legal or regulatory requirement, such as accounting, tax or legal obligations.

Legitimate interests: where processing is necessary for our legitimate business interests, provided that those interests are not overridden by your rights and interests. This may include operating and securing our premises, preventing fraud, maintaining business records, and improving our services.

Consent: where you have actively given us permission to process your information for a specific purpose, such as certain marketing activities or non-essential cookies.

Where we rely on consent, you may withdraw that consent at any time.

7. Who we share information with

We do not sell, rent or otherwise commercially trade your personal information.

We may share information with organisations that provide services necessary for us to operate the business, including:

  • Teelo, our booking/account platform;
  • payment providers such as Stripe, PayPal, SumUp, Worldpay and Apple Pay;
  • providers of email and WhatsApp communications where required to deliver communications;
  • professional advisers where necessary;
  • accounting and financial service providers;
  • IT, hosting and technical service providers;
  • law enforcement or other authorities where we are legally required to do so; and
  • other third parties where necessary to protect our legal rights, customers, staff or property.

These organisations may process personal information on our behalf or, depending on the service, act as independent controllers.

We expect relevant service providers to handle personal information securely and in accordance with applicable data protection law.

8. International transfers

Some of the third-party services we use may process or store information outside the United Kingdom.

Where personal information is transferred outside the UK, we will take appropriate steps to ensure that the transfer is lawful and that appropriate safeguards are in place where required by applicable data protection legislation.

9. How long we keep your information

We do not keep personal information indefinitely. We retain information only for as long as reasonably necessary for the purpose for which it was collected, taking into account legal, accounting, operational and security requirements.

Our intended retention periods include:

Booking and account information: normally retained while your account remains active and for a reasonable period afterwards where necessary for customer service, dispute resolution, accounting or legal purposes.

Transaction and financial records: retained for the period required by applicable tax and accounting requirements.

Marketing information: retained while you remain subscribed or until you withdraw consent, subject to any limited record necessary to ensure that we respect your opt-out.

Customer communications: retained for as long as reasonably necessary to deal with the relevant enquiry, dispute, transaction or business record requirement.

CCTV: normally retained for 1 year, unless footage needs to be preserved for a specific incident, investigation or legal purpose.

Cookie consent records: retained for an appropriate period to demonstrate and manage your consent choices.

We periodically review the information we hold and delete or anonymise information that we no longer need.

If you reject analytics cookies, the website and booking functionality should remain available to you, although we will not be able to use the relevant analytics functionality for your visit.

Managing your cookie choices

You can manage your cookie preferences through the cookie consent mechanism provided on our website.

You can also control or delete cookies through your browser settings.

Blocking certain cookies may affect some website functionality.

We will not treat continued use of the website alone as consent to non-essential cookies.

Where Google Analytics is enabled, it may collect information about how visitors interact with our website, such as pages visited, approximate geographic information, device/browser information and information relating to website usage.

We use this information to understand website performance and improve our services.

If you believe that a child has provided us with personal information unnecessarily, please contact us so that we can review the information and take appropriate action.
